Job Description
We are seeking a highly organized and proactive Virtual Executive Assistant to support the owner and founder of a busy criminal defense and family law firm. The ideal candidate will assist with both professional and personal tasks, ensuring smooth operations, clear communication, and excellent time management.
Responsibilities:
• Administrative Support: Serve as the right hand to the owner in all communications, including managing their inbox, calendar, and daily schedules.
• Task Management : Listen to recorded meetings and voice notes via Otter AI and Zoom, capturing action items, and tracking deadlines. Regularly follow up on assignments to ensure tasks are completed on time.
• Email Management : Organize and prioritize incoming emails, responding when necessary and applying rules for filtering and sorting messages based on urgency.
• Calendar Management : Manage the owner’s calendar using systems like Microsoft Outlook and Apple Calendar. Schedule meetings, events, and travel, taking into account availability and travel time.
• Meeting Coordination : Organize and prepare for meetings, ensuring that the owner is always briefed and prepared with the necessary documents or background information.
• Travel Arrangements : Book and manage all travel and accommodation arrangements, including flights, hotels, and ground transportation.
• Inventory and Supplies : Monitor office and personal supply levels, placing orders as needed.
• CRM : Manager projects via Monday.com and manage legal tasks on Clio.
• Special Projects : Assist with other administrative or personal tasks as assigned.
• Personal Items : Helping owner manage personal items, including family trips and appointments.
Qualifications:
• Experience : 4+ years as an Executive Assistant or similar role, preferably in a legal, corporate, or fast-paced environment.
• Organizational Skills : Excellent organizational skills with a keen eye for detail and the ability to manage multiple priorities.
• Tech-Savvy : Proficient with Google Docs, Microsoft Outlook, Calendar, Zoom, and other office tools. Able to quickly learn firm-specific systems (e.g., Case Management System).
• Communication : Excellent written and verbal communication skills in English (minimum B2 level), with a clear understanding of conversational nuances.
• Self-Starter : Ability to work independently, anticipate needs, and take initiative without constant supervision.
• Adaptability: Comfortable with adjusting priorities based on the owner’s needs, including handling both professional and personal tasks.
Hours : Open to work outside normal work hours depending on the Owner’s needs.
Familiarity with legal environments, especially in criminal defense or family law, is an advantage.
