Job Summary:
We are seeking a highly organized and detail-oriented Medical Office Administrator proficient in using PS Suites software to manage the daily operations of our medical practice. The ideal candidate will be responsible for overseeing front-office functions, ensuring smooth patient flow, maintaining patient records, coordinating schedules, and providing exceptional customer service. Knowledge of medical billing, scheduling, and patient management systems is required, with a strong emphasis on proficiency in PS Suites.

Key Responsibilities:

  1. Patient Scheduling & Coordination:

    • Schedule patient appointments, follow-ups, and procedures using PS Suites scheduling system.
    • Ensure proper patient flow and minimize wait times.
    • Coordinate with medical staff to manage physician schedules and resources.
  2. Medical Records Management:

    • Accurately input and update patient information, demographics, and medical history in the PS Suites EHR system.
    • Maintain confidentiality and comply with HIPAA regulations when managing patient records.
    • Ensure timely documentation and record keeping for all patient visits and procedures.
  3. Billing & Insurance Verification:

    • Process insurance verifications, pre-authorizations, and referrals using PS Suites.
    • Follow up on unpaid or denied claims and assist with resolving billing discrepancies.
  4. Front Office Operations:

    • Greet and check-in patients, ensuring they complete necessary forms and provide insurance information.
    • Answer phone calls, respond to emails, and handle patient inquiries in a professional manner.
    • Assist patients with account-related questions, billing concerns, and appointment rescheduling.
  5. Administrative Support:

    • Prepare and manage patient charts, medical forms, and documents.
    • Maintain office supplies and equipment, ordering as necessary.
    • Perform other administrative tasks as required by medical staff and management.
  6. Compliance and Quality Assurance:

    • Ensure all medical and administrative procedures comply with state and federal regulations.
    • Participate in ongoing training to stay up-to-date on PS Suites updates, billing practices, and medical office protocols.
    • Assist in audits and ensure office records are organized and accessible for inspections or compliance checks.
  7. Collaboration and Communication:

    • Foster effective communication with physicians, nursing staff, and other healthcare professionals to ensure quality patient care.
    • Assist in managing patient referrals and follow-ups between departments and specialists.

Qualifications:

  • High school diploma or equivalent; additional certification in medical administration or a related field is preferred.
  • Proven experience in a medical office environment, with a strong preference for candidates who have experience using PS Suites software.
  • Knowledge of medical terminology, insurance processes, and healthcare regulations.
  • Strong communication skills, both verbal and written.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and medical software, particularly PS Suites.
  • Basic knowledge of medical billing codes and insurance procedures is a plus.
  • Friendly and professional demeanor, with a focus on customer service.
